Cancellations and Refunds

Visa on Arrival Application

  • We have a no-refund policy for all Vietnam visa applications submitted through our website. It is important to contact us immediately if you wish to cancel your application to avoid unnecessary costs. Once an approval letter has been issued, we cannot refund the visa fee.
  • You must provide accurate information for your visa application. We are not responsible for any visa granted incorrectly or refused due to incorrect information provided. No refund will be provided in cases of incorrect information.
  • If your application is declined, all fees will be refunded. Refund processing may take 7-10 working days, or up to 15 working days, depending on your payment method.

E-visa Application

  • Expedited E-visa: The fee for expedited e-visa service does not include the $25 USD government e-visa fee. The expedited e-visa service fee is non-refundable under any circumstances. With this service, we only affect the processing time and ensure you receive a result. If the error is on the applicant’s side, you will need to pay a fee to apply for a new application.
  • New E-visa Application: The e-visa application on our website is for tourism and business purposes. Please select the correct purpose. All fees related to the e-visa application process are non-refundable under any circumstances. Refunds are only issued if an e-visa application is rejected by the authorities.

Processing Time and Service Completion

  • Processing takes 5-7 working days under normal circumstances for the standard option, starting the next business day after we receive your payment, or faster for urgent/emergency applications. Additional documents may be required in special cases, which could extend processing times. We will notify you via email if this happens.
  • Our service is considered complete once the e-visa or approval letter has been sent to the email address you provided (or the delivery method you requested).
  • If you do not receive your e-visa or approval letter within the expected timeframe, you must notify us via email/WhatsApp. Failure to notify us within 3 days will result in the service being deemed complete.

Estimated Delivery Time

  • The estimated visa delivery time is based on our last 30-day on-time rate and may be affected by factors beyond our control. While we strive to provide accurate estimates, we cannot guarantee exact delivery times.
  • Delays may occur due to unforeseen circumstances or additional document requirements. Fees are non-refundable in the event of delays.
  • Note: If your visa is delayed by more than 24 hours beyond the estimated delivery time, you will receive a full refund.

Force Majeure

  • We are not responsible for any failure to perform caused by circumstances beyond our control, including, but not limited to, acts of God, natural disasters, pandemics, war, terrorism, strikes, government orders, policy changes, accidents, or other unforeseen events.
  • If any of these occur, and entry is declined, we will not be liable for associated travel costs, and no refunds will be issued for completed services.

Approval Letter / eVisa Amendment

  • Once issued, approval letters and eVisas cannot be amended. Please double-check all information before submitting your application. Corrections must be notified immediately after submission. After that, you will need to reapply for a new approval letter or a new eVisa.

Approval Letter / eVisa Validity

  • The approval letter is valid for one month from the date you submit/enter on our order form, not from your actual arrival date in the country.

  • For the e-visa, the validity will be from 1 to 3 months, depending on the information you select during the application process.

Business Visa

  • The visa on arrival is intended for tourism purposes only. By applying through our website, you agree to use the approval letter for tourism purposes.

  • If you require a business visa, please apply for an e-visa and select “Business” on our application form.

Disclaimers

  • We are not liable for any loss, delay, or cancellation of flight tickets, tours, or accommodations due to declined visa applications or late visa deliveries. In such cases, we will refund the amount paid to us.
  • Visa approval letters generally take 2 working days, but exceptions and delays may occur. We recommend applying for a visa at least 1-2 weeks before your travel date.
  • While visa stamping at Vietnam airports typically takes 15-20 minutes, it can sometimes take longer due to high passenger volume. We are not responsible for any losses caused by unexpected delays.
  • Applicants are responsible for ensuring the accuracy of information on the approval letter. If errors are found, contact us immediately for correction. We are not liable for any delay or loss caused by incorrect information.
  • If the error is ours, we will correct it for free. If the error is on the applicant’s side, the applicant must pay for a new approval letter, which takes 2-3 working days. Expedited service with an additional fee will apply if needed.
  • Vietnam visa approval letters are typically issued in groups, meaning your name, passport number, and date of birth may appear alongside others. If you require an individual approval letter, please email us at support@vietnamvisaexpress.com.
  • VietnamVisaExpress.com is not responsible for any issues arising from group approval letters.

Governing Law
